Faltec X Pty Ltd (ABN 55 689 194 296, ACN 689 194 296) trading as Faltec X (Faltec X, we, us or our). This Privacy Policy explains how we collect, hold, use and disclose personal information in connection with our website, enquiries, client relationships, services and business operations.

1. Scope and privacy approach

We aim to handle personal information in a transparent and proportionate way. Where the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) apply to us or to a particular activity, we will comply with those requirements. We may also agree to additional privacy or security obligations in a client agreement.

2. Personal information we collect

  • Identity and contact information, including name, business name, position, email address, phone number and postal address.
  • Enquiry, project and client information supplied through forms, discovery calls, proposals, contracts, support requests, project systems and communications.
  • Billing and transaction information connected with invoices, bank transfers and business records. We do not ordinarily collect or store payment-card details through the Faltec X website.
  • Website and device information such as IP address, browser and device information, pages viewed, referral source, cookie or similar identifiers, analytics events, campaign information and approximate location derived from IP address where relevant.
  • Website interaction information where Microsoft Clarity is enabled, such as clicks, scrolls, navigation, page interactions and reconstructed session activity. We aim to mask or exclude sensitive form fields from recording.
  • Account, access and technical information reasonably required to deliver or support services, including domain, hosting, application, integration and system details.
  • Communications, feedback, survey responses, testimonials and support records.
  • Supplier, subcontractor, job applicant and professional contact information where relevant to our operations.

3. How we collect personal information

We usually collect personal information directly from you when you use our website, submit a form, email or call us, request a quote, book a meeting, sign an agreement, make a payment, use a service or communicate with us. We may also receive information from an authorised representative, referral source, public business source or service provider where lawful and relevant.

You may generally browse our public website without identifying yourself. We may need identifying information where it is reasonably necessary to respond to an enquiry, prepare a quote, provide services, meet legal obligations or protect our systems.

  • Responding to enquiries and preparing proposals or quotations.
  • Delivering websites, applications, software, eCommerce, AI automation, integrations, SEO, hosting, maintenance and support services.
  • Managing client relationships, accounts, billing, payments, contracts and business records.
  • Operating, securing, monitoring, troubleshooting and improving our website, systems and services.
  • Measuring website use, marketing campaigns, lead sources and conversions where the relevant tools are enabled.
  • Communicating service, project, security and support information.
  • Sending marketing communications where permitted by law and subject to applicable consent and unsubscribe requirements.
  • Meeting legal, tax, insurance, security, dispute-resolution and regulatory requirements.
  • Managing suppliers, subcontractors and professional advisers.

5. Website, analytics, security and marketing technologies

The technologies used on faltecx.com.au may change as the website develops. At launch or during normal operation, Faltec X may use the following systems. Whether a particular tool collects visitor information depends on how it is configured and whether it is enabled on the relevant page.

Microsoft ClarityHeatmaps, interaction analytics and reconstructed session recordings. Clarity may process interaction and technical data, and we aim to configure it to mask sensitive content.
Meta PixelAdvertising measurement, campaign attribution, conversion tracking and remarketing audiences for Meta platforms.
ComplianzConsent-management platform used to present choices, store consent preferences and control optional technologies according to configuration.
Looker StudioInternal dashboards and reporting using connected data sources. It is not intended to be embedded publicly on the Faltec X website unless separately reviewed.
FluentSMTPRoutes website-generated email. If email logging is enabled, logs may contain recipient, subject, headers, delivery response and potentially message content or attachments depending on configuration.
Simple Cloudflare TurnstileBot and abuse prevention on forms or other protected interactions. It processes technical security signals and is not intended to read form content.
WordfenceWebsite security, firewall, malware scanning and threat detection. Security functions may process IP addresses, request information and security logs.
LiteSpeed CacheWebsite performance and caching. It may read or use cookies and request information as necessary to serve cached or personalised content correctly.
Hostinger CDNContent delivery, performance and security. Requests pass through CDN infrastructure and may involve IP addresses, request headers and security signals.

Future advertising technologies may include Google Ads Conversion Tracking, Meta Conversions API, LinkedIn Insight Tag, Microsoft UET and TikTok Pixel. Listing these tools here does not mean they are active. Before enabling any of them, we will confirm the data sent, configure consent controls where required and make sure our public notices remain accurate.

6. Cookies, consent and tracking controls

We may use cookies, pixels, tags, local storage and similar technologies for essential operation, security, preferences, analytics and advertising. Complianz is intended to manage the website consent interface. Optional analytics and advertising technologies are intended to respect the choices you make through that interface and any applicable platform consent settings.

You can change your browser settings and, where available, use the website consent controls to accept, reject or change optional categories. Blocking some technologies may reduce website functionality or measurement.

7. Direct marketing

We may send commercial electronic messages where we have consent or another lawful basis. Marketing messages will identify Faltec X and provide a functional unsubscribe method. We will action unsubscribe requests as required by the Spam Act 2003 (Cth). Operational, billing, security and project communications that are genuinely non-promotional are treated separately from marketing communications.

8. Who we disclose information to

  • Website hosting, CDN, cloud, email, analytics, advertising, CRM, accounting, project-management, communications and security providers.
  • Approved developers, designers, SEO specialists, technical contractors and subcontractors who assist with delivery.
  • AI and automation providers where approved for the relevant purpose and appropriate controls are used.
  • Professional advisers such as accountants, lawyers, insurers and cyber-security specialists.
  • Government agencies, regulators, courts or law-enforcement bodies where required or authorised by law.
  • A genuine purchaser, investor or adviser involved in a proposed business sale, restructure or due-diligence process, subject to appropriate confidentiality.

We do not sell personal information to data brokers or advertisers.

9. Overseas processing and disclosure

Some providers and approved subcontractors may store, process or access information outside Australia. Known or likely locations may include the United States for certain cloud, analytics and behavioural-analysis services, and Nepal where approved Faltec X subcontractors are engaged. Other provider locations may vary according to their infrastructure and service configuration.

Where the APPs apply to a cross-border disclosure, we take the reasonable steps required by law. This may include contractual confidentiality, access controls, purpose limitations and reviewing the relevant provider arrangements. We can provide further information about known overseas processing locations where reasonably practicable.

10. AI and automated processing

We may use AI-enabled tools to assist with drafting, coding, analysis, support or automation where appropriate. We do not intentionally use client confidential information or personal information to train general-purpose AI models unless specifically authorised. We do not ordinarily use personal information collected through the public website to make decisions solely by automated means that would reasonably be expected to significantly affect an individual. If that changes, we will update our disclosures and processes to meet applicable legal requirements.

11. Security

We use reasonable technical and organisational safeguards appropriate to the information and services involved. Measures may include role-based access, multi-factor authentication where available, secure credential management, encryption in transit, security monitoring, malware scanning, backups, software updates, bot protection and restricted subcontractor access. No internet, hosting or storage system can be guaranteed to be completely secure.

12. Data breaches

If we become aware of a data breach involving personal information, we will take reasonable steps to contain, assess and respond to it. Where the Notifiable Data Breaches scheme or another notification obligation applies, we will comply with the applicable requirements.

13. Retention and deletion

We retain personal information only for as long as reasonably required for the purpose for which it was collected, service delivery, legitimate business records, dispute resolution, security, tax or legal obligations. Different systems have different retention periods. We maintain an internal retention schedule and periodically review provider retention settings. Project data is also subject to the relevant client agreement.

14. Access and correction

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity and may refuse or limit a request where permitted by law.

15. Privacy complaints

If you believe we have mishandled your personal information, contact our Privacy Contact with details of your concern. We will assess the complaint and respond within a reasonable time. Where the Privacy Act applies, we generally aim to respond within 30 days. If you are not satisfied, you may be able to complain to the Office of the Australian Information Commissioner.

16. Third-party websites and services

Our website and services may link to or integrate with third-party websites and platforms. Those services have their own terms and privacy practices. Their operation is not controlled by Faltec X.

17. Changes to this Privacy Policy

We may update this Privacy Policy when our website, services, providers, technology stack or legal obligations change. The current version will be published with its effective date. Material changes may also be communicated through an appropriate notice where required.
